Position and context

The position involves a high degree of personal responsibility and requires structural development skills. CADUS e.V. is a relatively small and young humanitarian organization. Due to the nature of the Ukraine mission and the dynamic situation, high commitment, flexibility, and personal responsibility are required.

The Accounting/Billing position should enjoy building structures, contributing ideas, and participating in the development of the mission and the overall strategy and structures of the organization.

  • This position is mainly responsible for overseeing the accounting of a large application from the Foreign Office. Relevant work experience, skills, and knowledge are essential.
  • Close cooperation with internal financial and project accounting is necessary.


Scope of Work

Financial management

  • Track and manage deliverables and deadlines related to grants, contracts, providers, and partners.
  • Monitor grant administration to ensure compliance with reporting and expenditure requirements
  • Monitor compliance of administrative documents and their proper filing
  • Ensure the smooth flow of financial documents and data
  • Monitoring the flow of financial documentation from project partners and compliance with partnership regulations
  • Implement and supervise financial transaction procedures and systems, under consideration of CADUS-internal financial regulations and international standards to ensure transparent and traceable accounting practices
  • Supervise flow of financial documentation from Ukraine to HQ and in compliance with the partnership.

Accounting

  • Oversee and approve regular bookkeeping, including weekly reconciliations, monthly and annual financial statements, monthly journal entries
  • Financial reporting
  • Preparation of financial reports to ensure compliance with donor procedures
  • Budget and planning
  • Work with the Project Coordinator and Program manager on budget preparation
  • Work with the Project Coordinator and Supply Chain Manager to monitor actual and projected expenditure against budget to avoid underspending and overspending on projects.
  • Monitoring the financial flows of the projects

Audit process

  • Participate in the management of the financial audit of the project
  • Preparation of information and direct responsibility for the assessment/audit of administrative procedures carried out by donors
  • Procurement
  • Verify proper filing of procurement procedures
  • Work with the Supply Chain Manager to update procurement spreadsheets
  • Design and implement administrative routines, procedures, and systems to increase efficiency


Skills and abilities

  • Problem-solving approach with demonstrated resourcefulness in setting priorities and creating efficiencies
  • Good oral and written communication skills, interpersonal skills, and teamwork skills
  • Proven organisational skills and ability to manage multiple tasks effectively while maintaining good and positive working relationships with colleagues


Requirements

  • University degree in finance and accounting, financial management, business administration, grant law, economics, political science or related fields or relevant professional experience
  • At least 2 years of relevant professional experience in a finance/accounting function
  • Experience in budgeting and budget monitoring
  • Experience in managing grant contracts for humanitarian projects abroad is an advantage
  • Proven experience in coordinating and managing relationships with international and local partner organizations and donors is an asset
  • Extensive expertise in Microsoft Office, especially Word and Excel. Experience with accounting software is an advantage.

Für uns als unabhängige humanitäre Organisation gehören die Akquise und Betreuung unserer Unterstützer:innen zu unseren wichtigsten Arbeitsbereichen. Du bist zuständig für den Aufbau einer nachhaltigen Fundraising-Strategie und der Umsetzung neuer Fundraising-Projekte. Deine Aufgaben:

    • Entwicklung einer nachhaltigen Fundraising-Strategie
    • Entwicklung und Durchführung von Fundraising-Maßnahmen, darunter
        ◦ Planung, Organisation und Durchführung von Veranstaltungen
        ◦ Betreuung sowie Abwicklung von Anlass-Spenden
        ◦ Online-Kampagnen
    • Spender:innen-Kommunikation: Zielgruppenorientierte Pflege und Beziehungsarbeit von bestehenden und neu zu gewinnenden Privatspendern, Unternehmensspendern und anderen Partnern
    • In Koordination mit dem PR-Management, Erstellung von Info- und Repräsentationsmaterial

    • Erstellung und Durchführung von angemessenen Bedankungsmaßnahmen
    • Spender:innen-Verwaltung und Auf- und Ausbau eines professionellen Kontaktmanagementsystems

Deinen Aufgabenbereich bearbeitest Du selbständig und eigenverantwortlich in enger Koordination mit dem PR-Management, dem Institutional Partnership Management, und der Geschäftsführung.


Was du mitbringst:


    • Abgeschlossenes Studium oder abgeschlossene Ausbildung (z. B. Fundraising-Referent:in) oder einschlägige Berufserfahrung im Bereich Fundraising, Marketing, Kampagnenarbeit, etc.
    • Fundierte Erfahrung mit Fundraising-Werkzeugen und in der Betreuung von Spendenden (kleine und mittlere Spenden)
    • Interesse an und Verständnis für die humanitäre Arbeit und der Arbeit in Krisen- und Konfliktkontexten sind von Vorteil

About the organization

CADUS e.V. (CADUS) is a non-profit and independent aid organization based in Berlin with a sub-branch in Erbil, KR-Iraq. Our work is primarily concerned with providing medical support to people in crisis situations. These can range from sudden onset disasters to protracted and complex slow-onset emergencies. We aim to enable transformation of knowledge and technology. Together with local communities, we want to develop new and innovative projects that are both adapted to local conditions and actively shaped by recipients of humanitarian aid. Through interdisciplinarity, organizations and individuals should gain the opportunity to develop innovative humanitarian solutions via active participation in humanitarian work.


Position and context

On 24.02.22 Russia began its invasion of Ukraine. The war continues, causing numerous casualties and major destruction of civilian infrastructure. At the same time, networks of civil society, public and private actors have developed structures to minimize war-related risks for communities and the population by providing humanitarian assistance, medical support, various social services as well as technical support and digital solutions.

CADUS has been deploying an Emergency Medical Team (EMT) in Lviv since the beginning of March. In addition, as part of a project led by MitOst and in collaboration with Garage Hub, Platform Ostriv, MetaLab, Insha Osvita and BUR of Ukraine, CADUS is deploying a Mobile Makerspace for Technical Emergency Response in Western Ukraine.

Mobile Makerspaces are vehicles equipped with various IT tools, machines for processing wood, metal, or other materials and for construction, or high-tech devices for monitoring ecosystems such as water and air quality or radiation. They are designed to be used in dynamic environments that enable makers, citizens, and communities in different locations to meet local needs for infrastructure maintenance and repair and to create local production chains for different products that are not available due to interrupted supply chains. Mobile Makerspaces are also spaces of learning, community engagement, connection, and discourse.

CADUS will send a Mobile Crisis Response Makerspace (CMCRM) to Ukraine for 3 months in 2-week stages, equipped with tools, machines, materials, and a team. To allow the Mobile Makerspace Team Lead some time back in Germany, we are looking for a freelance expert to replace them for 2x3 weeks in early-mid June as well as mid-late July.

The position comes with high individual responsibility and demands structural development skills. CADUS e.V. is a relatively small and young humanitarian organization. Due to the nature of the Ukraine Mission and the dynamic situation high commitment is demanded as well as flexibility and individual responsibility.

Hence, the Team Lead Mobile Makerspace should have joy in leading a team, shaping project developments, bringing in ideas and taking a share in developing the project’s mission, and should be aware that there are some administrative tasks as well.

For us, the safety of our teams is paramount. The CMCRM is planned to be deployed far away from ground combat, the operation and the situation in Ukraine are being closely monitored and we are constantly assessing if and how the operation can be continued. However, please be aware that the whole of Ukraine is a war zone and that any deployment on Ukrainian soil carries certain risks.

All team members will be specifically prepared for the mission by CADUS. People who want to be part of the team definitely have to take the time for this beforehand.


Key Duties

  • Operational planning in cooperation with MitOst, the Ukrainian partners, the operational management, Safety & Security, and the project management.
  • Independent implementation of projects in consultation with the Head of Operations, Safety & Security and Project Management.
  • Management of the CMCRM team on site
  • Daily check-ins with mission management and Safety&Security on the security situation and route planning
  • Continuous reporting
  • Ensuring the operational readiness of the CMCRM
  • Supporting the project management in reporting to MitOst and the partners
  • Support financial administration by collecting, scanning and uploading all receipts (sales slips, receipts, invoices and own receipts) to CADUS Nextcloud.
  • Support PR as needed (e.g. phone calls to explain things to be communicated in more detail; appointments with editors / journalists; proofreading articles; etc.).
  • Close cooperation with Technical Coordination


Requirements

  • 2 years of experience in a similar position (NGOs and/or private companies)
  • Strong team and project management capacities, good administration and reporting skills
  • Of advantage: experience working in conflict and post-conflict areas
  • Able to work with rigor, diplomacy, to withstand pressure and show good communication skills. You have a capacity to delegate and to supervise the work of a team, to work on your own initiative and collaboratively as part of a diverse team

Hence, the Crewing coordination should have joy in building structures, bringing in ideas and taking a share in developing the organization’s mission and overall strategy and structures.

  • This position is mainly responsible for supervising the crewing process of for the organization’s Emergency Response Department in the scope of its activities in Ukraine. This position will coordinate and support key responsibilities including recruitment, administrative support for international team members, supervise deployment procedures, organize pre-deployment briefings, remote crew care for in-field team, de-briefings, organize crew changes, support access, and define crew structure with technical focal points. The Crewing coordinator for Ukraine Mission will collaborate and coordinate with Medical and Programs staff. S/he will also work with field staff to ensure effectiveness, organization-wide uniformity of Crewing structure and implementation of CADUS SOPs and policies.


Key Duties

  • Supervising and implementing the overall recruiting strategy for Cadus mission in Ukraine

  • Sourcing and attracting candidates by using databases, social media etc

  • management of international staff at in-field level through the implementation of the mission

  • Secure overall internal crewing procedures, guidelines, and tools

  • Actively participate in implementing training programs for international staff crewed for the Ukraine mission

  • Actively participate in scaling and recruiting the human resources needs for the in-field team

  • Participate in the update of the organisation’s guidelines and tools, and be responsible for its proper application at in-field level

  • Analyze risks in relation to Crewing questions, and issue alerts/recommendations, if necessary as well as implement lessons learned

  • Centralize and disseminate information at HQ, in close collaboration with the in-field team and HQ and consolidate activities’ internal reporting in that regard

  • Screening applications and assessing them for relevant knowledge, skills, experience, and aptitudes with technical focal points

  • Scheduling interviews in liaison with the interviewing panel


Requirements

  • Bachelor's or master’s degree in Human Resources or any related field or appropriate education/training.

  • 2 years of experience in a similar position (NGOs and/or private companies), or/and have an experience in administration position is an advantage.

  • Strong team management capacities and good analytical and writing skills

  • Of advantage: knowledge in Labor Law, capacity building, recruitment and/or administrative management.

  • Able to work with rigor, diplomacy, to withstand pressure and show good communication skills. You have a capacity to delegate and to supervise the work of a team, to work on your own initiative and collaboratively as part of a diverse team

Über CADUS
